The terms we work by.

Rates, accommodation, payment, and cancellation policies that govern bookings with KBS Travel and Intertrade Co., Ltd.

— Rates

Confidential and net.

Rates are confidential and should never be disclosed to any third party.
Rates are net non-commissionable.
Package tour rates include hotel accommodations, selected meal plans & services, sales & city tax unless specified in the program tours.
All rates apply to the leisure market only.
Hotels may reserve the right to charge rack rate for non-leisure guests. KBS absolves all responsibility for any additional charges and penalties.
In the case of government increase in taxes or currency fluctuation, KBS reserves the right to change rates accordingly.
All rates apply to adult guests. Children rates (under 12 years old) are available where applicable.

— Accommodation

Rooms, check-in, and children.

Based on single room (1 person), twin/double room (2 persons), and triple room (twin/double + extra rollaway bed, 3 persons).
Check-in time is 14:00; check-out time is 12:00 noon local time. Late check-out is subject to availability, but not later than 14:00. Late check-out after 18:00 will be charged as one more night.
Extension of stay depends on hotel room availability at the time of request.
Children below 12 years old sharing with two adults without an extra bed and no breakfast will be free of charge (maximum 1 child).
Children below 12 years old sharing a room with two adults and requesting an extra bed will be charged the triple sharing rate.
Children below 4 years old sharing a room with two adults without an extra bed are free of charge.

— Access code

Your credentials, your responsibility.

KBS generates access codes for the online system, assigned to the contact name provided by the partner.
Sharing, transferring, or disclosing access codes to third parties is prohibited.
Partners are liable for all actions and bookings logged under their account and must notify KBS of employee terminations.
KBS reserves the right to alter access codes for security measures.

— Credit agent

Booking on agreed credit.

Enabled through a separate agreement with an agreed credit limit.
The travel agency is solely responsible for all reservations, payments, and cancellation penalties.
Accounts will be suspended if the credit limit is exceeded or payment is past the deadline.

— Non-credit agent

Full access, on confirmation.

Have access to all facilities except credit.
Can book “Room on Request” subject to hotel confirmation.
Automatic confirmation with a “Due Date for Payment” is sent upon hotel confirmation.

— Voucher

Issued right, honored right.

Must be issued at least 3 days prior to arrival and state “booked and payable by KBS Travel & Intertrade”.
Must be attached to the travel agency’s original voucher.
Hoteliers/suppliers may refuse guests if voucher information is incomplete, illegible, inaccurate, or cancelled.

— Payment

How and when we settle.

Payments are accepted via cash or bank transfer (USD or THB).
If payment is not received before 12:00 noon local time on the due date, the booking will be cancelled.
SWIFT message copies / bank transfer details must be emailed or faxed to KBS before 12:00 noon local time on the due date.

— Offline booking & reservation

Lead times.

Booking / cancellation should be made 15 days for FIT (Free Independent Traveler) and 30 days for groups prior to arrival/departure.

— Cancellation

Deadlines and penalties.

Any booking made after the cancellation deadline implies a guarantee of payment. Hotels/suppliers may charge a penalty for cancellations.
“Cancel Confirm”: successfully cancelled before the deadline.
“Cancel Charge”: cancelled after the deadline (automated email sent).
“Not Confirm”: room request unable to be confirmed.
No refunds are provided for unused portions of any tour or unused services.

— Claims & refunds

How to raise an issue.

Must be submitted in writing and received by the tour operator within 14 days of the service date.

— Law & jurisdiction

Governing law.

Exclusively subject to the laws and jurisdiction of The Kingdom of Thailand.

— Package tour

Children and participation.

Children below 12 years old sharing with two adults without an extra bed will be charged 50% of the adult rate.
Children below 12 years old sharing a room with two adults requesting an extra bed will be charged 75% of the adult rate.
No refund is applicable if passengers do not take part in any of the programs during their stay.

— Package tour inclusions & exclusions

What’s in, what’s out.

Included: accommodation (2+ nights), assistance on arrival/departure, roundtrip airport/hotel transfers, breakfast, half-day sightseeing / city tour.
Not included: air transportation, airport taxes, portage, excess baggage charges, personal tips, and any item not specified.

— Miscellaneous provisions

Independent contractor.

The agent acts as an independent contractor. KBS is not responsible or liable for any claims, damages, or injuries arising from the acts, omissions, or negligence of the agent.
